Every property moves on its own, with its paperwork and its margin.
We built your demo from the process document you sent Ariana: it already speaks REFYT.
Now imagine it with
+100 improvements
every property moving on its own, every approval with the right person, and the whole business on one screen.
Things you will stop hearing.
“Who was meant to call this client?”
Every client has an owner and a next step.
“We forgot to chase that invoice.”
Nothing is closed until it is paid.
“Send me the report when you can.”
Sales, cash and progress, up to date in your app.
“Only she knows how to do that.”
The process lives in the system, not in one person.
“We will have to hire someone else.”
The same team serves more clients.
“Which spreadsheet is the right one?”
One version of everything, for everyone.
Your information lives once, in the REFYT system. Each team works in its app.
Refyt’s apps
Refyt’s information, one database
One app per team.
People who do the same work share an app. At REFYT there are five, one per team in section 13 of your document: Director, Commercial, Accounts, Retrofit and Delivery.
The survey admin books, the assessors visit, the approvers review and the designers design: phases A and B, one app, Retrofit.
Commercial prices the work and Accounts invoices it: different people, and money stays private, so two apps.
One property goes through several apps, without typing anything twice:
Evidence and designs approved
E.ON rates, margin checked
Ready to install set itself
Five apps, as in the demo.
You switch between apps from the app selector, and each person only opens the apps their role allows. Every app starts with Tasks and meetings: the team’s tasks with what is due today, open and overdue, and the register of past and upcoming meetings with summary, attendees and action points. Each app also has its own Waiting for my approval.
- The whole business at a glance, with drill down to a single cost line.
- The 8 dashboards from section 16: business overview, scheme performance, finance, operations, team productivity, capacity and staffing, quality and compliance, suppliers and subcontractors.
- New schemes from a template or a copy, roles per scheme, the Tuesday directors’ meeting.
Automations: items above the scheme limit routed to directors; every settings change logged; daily summary instead of individual alerts.
- Rates per measure and scheme, quotes and budgets per measure.
- Live margin per property and scheme: quoted, budget, committed, actual and forecast.
- Variations, additional costs and scheme settings.
Automations: quote lines built from the scheme rates; budget locked on client approval; alerts when forecast cost passes budget or margin falls below target.
- Payment triggers met and invoices to raise, due and overdue.
- Supplier invoices matched against orders, subcontractor payments to pay.
- What is owed to and by REFYT, per scheme.
Automations: invoice created as pending when the trigger is met; due date from the scheme’s payment terms; overdue invoices escalated to directors.
- Phases A and B: bulk import of new jobs, assessment bookings, RdSAP evidence checklist, review, modelling, design per measure and survey pack.
- Mobile form for assessors, with photos from the phone.
Automations: approvers notified on submission; rejected assessments book a revisit and count it; checklists built by programme, measure and house type; client system reminders with a tick.
- Phases D, E and F: preparing to install, install by measure (Redbridge by group, with hold points), purchasing, subcontractor payments and additional costs, close out and handover, health and safety, and site mobile forms with no account needed.
Automations: Ready to install set when every item that applies is done; hold points block the next group until passed; orders and payments routed by scheme limit and recorded as committed cost; client queries become tasks; insurance and accreditation expiry alerts.
The more you ask of it, the more your team uses it.
Every “can it do...?” is paid for twice
Once in money, quoted as a separate change. Once in usage, because every workaround makes the tool harder, like the 69 columns on Projects today, and the team opens it less.
Every “can it do...?” is already paid for
It goes into the next improvement round, with nothing to quote. And because Dren or the field team asked for it, they use it from day one.
Eight weeks, with your team using the apps from the second. Integrations add two.
One week we watch you work, 45 minutes per app. The next we show you the improvements and you give us feedback on the spot.
It is the whole process. Dren, the assessors, the installers and Lana learn by using their own app from week 2, with us alongside every week.
Almost always, by week 6 the team tells us: “this is everything we want”.
Your structure and a demo first. Four versions of your apps after.
Version 0 is your process document, and version 1 the demo you saw. From version 2 they are your apps: each one comes from watching you work. One week we observe, the next we show you the new one.
Each app has its own first session, booked when we start.
